Seavington Solutions provides clients a service whereby we can  manage the whole procurement cycle for a new IT service, product or project in association and liaison with the client’s own IT, legal, procurement and other departmental teams as appropriate.

The main aspects of the offering would be to;

· Agree and document what type of procurement phases will be required (RFI then PQQ then ITT stages, or an RFI and then and ITT, or a PQQ and then ITT or just an ITT phase) and prepare an outline timetable with all stakeholders / owners.

· Engage with other internal specialists (legal, procurement) as appropriate so that the exercise adheres to any internal rules and requirements.

· Agree the style and format for each particular phase of the tendering process

· Prepare a detailed specification of requirements in association with technical and business experts.

· Draft any required notice or advertisement for the tender (e.g. OJEU).

· If required to work with the IT and Procurement specialists to identify a list of suitable suppliers.

· Prepare the RFI, and / or PQQ and / or ITT documents as appropriate

· Send the document pack out to nominated suppliers and confirm receipt

· Arrange and coordinate any required Supplier clarification meetings

· Coordinate any responses to questions and comments in a controlled manner

· Document the agreed Adjudication Process and evaluation criteria marking scheme

· Receive, acknowledge and collate all responses

· Manage any questions or further requests following an RFI stage.

· Manage non-compliant responses

· Manage the full Adjudication process and minute any meetings

· Notify suppliers if appropriate of the intention to proceed to the full ITT

· Arrange and coordinate any short listed supplier presentations

· Receive and manage review of any revised proposals

· Prepare rejection letters and preferred supplier letters as appropriate

· Manage and attend any requests for a debrief meeting

· Draft and negotiate contract for the preferred supplier ready for signature

· Manage the transition “into service”.
